Does a small business need EcoVadis?
EcoVadis is a paid sustainability rating some large customers ask suppliers to complete. Here is when you genuinely need it, when you do not, and how to prepare either way.

Most small businesses do not need EcoVadis unless a customer specifically requires it. EcoVadis is a paid, third-party sustainability rating that some large companies use to assess their suppliers. If your customer says “EcoVadis or equivalent”, or simply asks ESG questions, a clear ESG report and a few written policies are often enough. If they make an EcoVadis scorecard a firm condition, it is worth doing properly.
If you have just had an email inviting you to “complete your EcoVadis assessment”, there is no need to panic or to pay anything straight away. Here is how to decide.
What is EcoVadis?
EcoVadis is a company that rates businesses on how well they manage sustainability. You complete an online questionnaire, upload supporting documents, and EcoVadis analysts review them and produce a scorecard out of 100. Large buyers then view your scorecard through the EcoVadis platform.
The assessment covers four themes:
- Environment
- Labour and human rights
- Ethics
- Sustainable procurement
According to its methodology document, these cover 21 criteria, and the questionnaire is customised to your company size, industry and country. EcoVadis groups companies by size, with the smallest category (XS) covering up to 25 employees.
When you genuinely need EcoVadis
It is worth doing when:
- A customer makes it a contract condition. Some large manufacturers, retailers and corporates require an EcoVadis scorecard from suppliers above a certain spend.
- Your sector expects it. In some supply chains it has become the standard way buyers compare suppliers.
- You want to win new corporate customers who already use the platform. A good scorecard is visible to them.
If any of these apply, go ahead, and prepare well (more on that below).
When you probably do not need it
You may not need it when:
- The customer says “EcoVadis or equivalent”. Ask what they would accept as equivalent. A documented ESG report with a carbon footprint, policies and an action plan often qualifies.
- The customer sent their own questionnaire. That is not EcoVadis. Answer it directly. Our guide on what to do when a customer sends an ESG questionnaire walks you through it.
- The request came from an EcoVadis invitation, but the customer is flexible. Reply to your contact, not just the platform, and ask whether it is required or encouraged.
- You sell into the EU and the customer wants your sustainability data. From 2027, the EU’s value-chain cap limits what large reporters can require from businesses with 1,000 employees or fewer. A response based on the VSME standard may be acceptable.
A polite, honest question usually gets a straight answer. Something like: “We are a 12-person business and want to give you what you need. Would our ESG report, carbon footprint and policies meet your requirements, or is an EcoVadis scorecard essential?”
What the EcoVadis assessment involves
If you go ahead, here is what to expect:
- An invitation and a deadline. EcoVadis sets a deadline for completing and submitting the questionnaire, and in most cases you can extend it yourself on the platform if you need more time.
- The questionnaire. Tailored to your size, sector and country. You can answer “not applicable” where something does not apply.
- Supporting documents. This is the big one. Answers need evidence: policies, procedures, reports, certificates. EcoVadis caps uploads at 55 documents, and only relevant documents linked to the right questions help.
- Analyst review. EcoVadis says scorecards are normally published six to eight weeks after submission.
- Your scorecard. Valid for 12 months. Medals are awarded by percentile, and you are not eligible for one if any of the four theme scores is below 30.
The EcoVadis pricing page lets you check the fee for your size and plan. The larger cost for most small firms is internal time spent finding and writing documents.
A few practical tips before you start:
- Do not submit early. Use the time before your deadline to gather documents first. Once you submit, the analysts work with what you gave them.
- Match documents to questions. A policy uploaded against the wrong question does not help. Label files clearly.
- Policies need evidence of action. A policy alone scores less than a policy plus a record that you followed it, such as training logs or a year of energy data.
- Read the scorecard carefully. It lists strengths and improvement areas, which make a ready-made to-do list for next year.
How to prepare for EcoVadis
EcoVadis scoring rewards formal, documented management systems. In plain terms: written policies, evidence you act on them, and numbers that show results. Before you start, gather:
- An environmental policy, signed and dated
- A code of conduct covering ethics, anti-bribery and fair treatment
- Health and safety and HR policies
- A carbon footprint with your Scope 1 and Scope 2 emissions and a clear method
- Targets and an action plan, so you can show what comes next
- Supplier checks, even a simple supplier code or questionnaire

EcoVadis is a real commitment of money and time. For a business whose main customer requires it, it pays for itself by keeping that contract. For a business that has simply been asked some ESG questions, it is usually more than you need right now. Common questions
Is EcoVadis mandatory for suppliers?
There is no law requiring it. It becomes mandatory only if a customer makes it a condition of doing business with them. EcoVadis itself says its ratings are always solicited and companies can refuse an assessment, though refusing may affect your relationship with that customer.
How much does EcoVadis cost for a small business?
EcoVadis does not have a single price. Fees depend on company size, the plan you choose and your country, and EcoVadis publishes a pricing tool so you can check the figure for your size category. Remember to budget for your own time too, as gathering documents is usually the bigger cost.
How long is an EcoVadis rating valid?
A scorecard is valid for 12 months from its publication date, and medals are also valid for 12 months. A reassessment happens when you choose to renew or a customer requires it, usually at the end of that period.
Can a small business get a good EcoVadis score?
Yes. The questionnaire is tailored to company size, so a 10-person firm is not asked the same things as a multinational. Scores reward documented policies, actions and reporting, which small businesses can put in place relatively quickly.
