Sound familiar?
Our biggest customer sent a 40-question form
It asks for emissions by scope, policies, diversity data and supplier checks. We have run a good business for years and never needed any of it written down.
We are worried about losing the contract
Nobody has said it outright, but we know our competitors are getting the same form. A weak answer could cost us at renewal time.
They want documents as well as ticked boxes
The portal asks us to upload an environmental policy and a code of conduct. We do not have either, and drafting them from scratch feels like a week's work.
We do not know what Scope 3 has to do with us
The form says they need our data for their Scope 3 reporting. We just want to know which numbers to give them.
Why are customers sending ESG questionnaires?
Your customer needs your data to complete their own reporting. Large companies are increasingly expected to report the emissions in their supply chain, called Scope 3, and your footprint is part of theirs. So they ask you.
The pressure is growing. The UK Sustainability Reporting Standards (UK SRS) were published on 25 February 2026 for voluntary use, and the FCA is expected to require listed companies to use them for periods starting from 1 January 2027, subject to its final rules. Nothing is proposed for SMEs directly, but your listed and large customers will need supplier data to report properly.
If you sell into the EU, there is a helpful limit. Under the EU’s 2026 Omnibus changes, large reporters cannot demand more from value-chain partners with 1,000 employees or fewer than the voluntary VSME standard defines. That gives you a sensible ceiling on what is reasonable to ask.
What do supplier ESG questionnaires usually ask?
The forms vary, but most cover the same ground:
- Emissions: your Scope 1, 2 and sometimes 3 emissions in tCO2e, the reporting period and the method used
- Policies: environmental policy, code of conduct, health and safety, data protection
- People: headcount, Real Living Wage, training, diversity monitoring, incident recording
- Governance: who is responsible for ESG, supplier due diligence, modern slavery
- Targets: whether you have a carbon reduction or net zero target
ESG Now asks about each of these in plain English and turns your answers into a report you can attach. Every emissions figure comes with the activity data, the official UK government factor used and the result, so you can paste numbers straight into a portal and point to the working if asked.
What about EcoVadis and other platforms?
Some customers use a ratings platform rather than their own form. EcoVadis is one example. It is a paid assessment that tailors its questionnaire by company size, industry and country, and it expects you to back answers with uploaded documents.
ESG Now does not give you an EcoVadis score. What it does give you is some of the evidence those platforms ask for: a measured carbon footprint and a written record of your policies, workforce and governance practices. If you still need an environmental policy or code of conduct, our environmental policy and code of conduct templates give you a starting point to adapt. Having those ready first makes a platform assessment far less painful.
How to use your report to answer the form
Start with the emissions questions, because they look the hardest and are now the easiest. Copy your Scope 1 and Scope 2 totals from the report, note your reporting period and say the method is the GHG Protocol using UK government conversion factors. For Scope 3, give the sources the report covers (waste, water, business travel, courier deliveries, and estimates of commuting and homeworking) and say which figures are estimates. If you skipped the optional spend-based estimate of purchased goods, say that it is not yet measured. That honesty reads well. Our guide on how to answer a supplier sustainability questionnaire goes question by question.

How long will yours take?
Pick the option that sounds most like your business. You will see a realistic time, what to have nearby and a head start on the questions.
Your estimate
About 20 to 30 minutes
Around 50 questions, most of them multiple choice
Still comfortably under half an hour.
You will add your electricity and gas use, plus a quick estimate of your bins. If you do not have the exact figures, the questionnaire works them out from your floor area instead.
Handy to have nearby
- A recent electricity and gas bill (or your office size in square metres)
- How many general waste and recycling bins you have
- Headcount and a rough idea of business trains and flights
- How your team usually gets to work
Missing something? Estimates are fine, and you can come back to any answer later.
Office-based firms usually have clear, low-cost ways to cut their footprint. Your action plan will list them in order.

Common questions
Why is my customer asking for my carbon footprint?
Large companies are increasingly expected to report emissions across their supply chain, known as Scope 3. Your emissions are part of their Scope 3, so they ask suppliers for figures. It is usually about their reporting duties, not a judgement on your business.
Do I have to answer a supplier ESG questionnaire?
There is no legal duty for most SMEs, but it is often a condition of staying on an approved supplier list or winning a renewal. A clear, honest answer with real figures generally lands far better than a blank or a refusal.
Is this the same as an EcoVadis rating?
No. EcoVadis is a separate paid assessment, tailored by company size, industry and country, and your answers must be backed by uploaded documents. Your ESG Now report gives you some of that evidence, such as a measured carbon footprint, but it does not produce an EcoVadis score.
What if I do not know some of the figures they ask for?
Use estimates where they are sensible and say so. The report labels every figure as measured, estimated or a data gap. Buyers would much rather see an honest estimate than an invented number.
